Job Title: Secretary Receptionist

Job summary :
The ideal candidate will be responsible for managing front desk operations, handling administrative tasks, and providing support to the company’s staff and customers. The role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
Front Desk & Customer Service:
• Greet and assist visitors, clients, and suppliers in a professional and friendly manner.
• Answer incoming calls, respond to inquiries, and direct calls to the appropriate personnel.
• Maintain a welcoming and organized reception area.
• Provide information about the company’s products and services to walk-in customers and over the phone.
Administrative Support:
• Handle incoming and outgoing correspondence, including emails and letters.
• Maintain and update company records, files, and databases.
• Assist in scheduling appointments, meetings, and managing the executive’s calendar.
• Prepare and distribute internal memos, reports, and documents.
• assist the Human Resources Manager in formal letters, preparing some documents, and some events .
• Support the General Manager of his scheduled meetings and handling some calls and emails.
Order Management & Inventory Support:
• Assist in processing customer orders, coordinating with the sales and logistics teams.
• Maintain records of book stock and coordinate with the warehouse team for inventory updates.
• Help manage deliveries and ensure customers receive their orders on time.
Financial & Billing Support:
• Assist in preparing invoices, receipts, and basic financial documentation.
• Handle petty cash and record daily transactions, ensuring proper documentation.
• Support the finance team in tracking payments and following up on pending invoices.
Qualifications & Requirements:
• Education:Bachelor’s degree in Business Administration, Office Management, or a related field.
• Experience: At least 1 year of experience as a receptionist, secretary, or in an administrative role.

• Skills:
• Strong verbal and written communication skills in Arabic and English.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
• Ability to multitask and work efficiently under pressure.
• Excellent organizational and time management skills.
• Customer service-oriented with a professional and friendly demeanor.
• Basic knowledge of bookkeeping or handling invoices is a plus.
• Working Hours: , Saturday to Wednesday , 9:00 AM – 5:00 PM
Thursday from 9:00 AM - 3:00 PM
